Text Replacement in Windows 11

Windows 11 has no built-in text replacement like macOS, so you'll need an app to turn typed abbreviations into longer text across applications. PowerToys can insert text with a key combination, while clipboard history lets you reuse copied items. For longer replies you want to find by name, PhraseVault® offers a searchable phrase library: press Ctrl+., search, and press Enter to paste.

How does it compare with Mac text replacement?

On a Mac, open the Apple menu, then System Settings, Keyboard, and Text Replacements. These replacements suit short plain text rather than formatted messages with images or fill-in fields, and they aren't available in every app. With iCloud Drive and the same Apple Account, you can sync them between a Mac, an iPhone, and an iPad, or export them to a file. Windows has no equivalent built-in feature for expanding abbreviations across apps.

Can PowerToys insert text with a shortcut?

PowerToys Keyboard Manager can assign text to a key or a shortcut. For example, you can make a key combination insert a greeting. It responds to the key combination, not to an abbreviation typed in a sentence, and PowerToys must be running with Keyboard Manager enabled.

It doesn't work on sign-in or password screens. To use it in an app running as administrator, run PowerToys as administrator too. Multiline text replacements are supported from PowerToys 0.99.0, released in April 2026. Microsoft's Keyboard Manager guide explains how to set up text mappings.

As of October 2026, the separate PowerToys text expander is still in development and hasn't been released. Keyboard Manager is useful today if you only need a few texts on individual shortcuts.

Is clipboard history enough for occasional replies?

Press Win+V to open Windows clipboard history. It holds up to 25 copied entries, supports text, HTML, and bitmap images, and has a 4 MB limit per item. Pin items you want to keep after a restart; pinned items also survive clearing the list. Optional syncing lets you reuse items on devices with the same account.

That's handy for recently copied text. A named phrase library is easier to search when you have many recurring replies; see text expander vs clipboard manager.

Can the Japanese IME dictionary hold long replies?

Microsoft IME's user dictionary is intended for words and short phrases. The registered word is limited to about 60 characters, according to the PC manufacturer's IME dictionary guide. That's useful for a name or a brief greeting, but a tool for longer phrases is a better fit for email paragraphs.

How do I save and paste a long phrase?

PhraseVault supports Windows 10/11 x64 and Apple Silicon Macs with macOS 13 or later. It also runs on Linux (x86_64), built for Omarchy and Arch with Hyprland. Automatic paste and the summon shortcut need Hyprland. The AppImage is best-effort on other distributions. After installing PhraseVault, save a reply under a memorable name. On Windows, press Ctrl+., type a few letters, and press Enter to paste it into the app you were using.

Its fuzzy search finds partial words in phrase names and unprotected contents, in any word order. You choose a result rather than expanding an abbreviation while typing, so you don't need to remember a separate trigger for each reply. The everyday guide explains saving and editing phrases.

On a Mac, use Cmd+. and enable Accessibility permission for automatic pasting. Without that permission, the phrase is copied to the clipboard for manual pasting. If you prefer abbreviations that expand as you type, Espanso and Beeftext use that approach.
