Employment reference letter templates let you reuse an opening, a description of duties, and a closing while tailoring the assessment to each person. PhraseVault® saves these paragraphs on your computer: press Ctrl+. on Windows or Cmd+. on macOS, search by name or content, and press Enter to paste into your letter.
A reference describes someone's work, while an employment verification confirms facts such as dates and job title. Keep separate phrases for each document so you can answer the request without adding an assessment that wasn't asked for.
Why separate blocks beat one master file
A master letter can quickly become a collection of files called "reference-final-v7". Separate paragraphs are easier to update and combine for the next request. Give each phrase a clear name, such as "Verification dates" or "Reference duties". Fuzzy search finds partial words in names and unprotected text, in any word order, and frequently used phrases rise to the top.
PhraseVault works by summoning a search and choosing a paragraph, so you don't need to memorize abbreviation triggers.
Choose the right wording for the request
If the request is for proof of employment, start with dates and job title. For a reference, add duties and an assessment supported by your experience of the person's work. Follow your organization's policy and any required format when deciding which details to include.
Phrases you can paste and adapt
Save the examples below with their placeholders intact. PhraseVault prompts you for the missing details when you insert them; see dynamic placeholders for the syntax. You can also use square brackets and fill them in manually. Adapt each paragraph to the person and your organization's wording.
Facts-only verification, when that is your policy:
This confirms that {{input:Employee name}} was employed by {{input:Company}} as {{input:Job title}} from {{input:Start date}} to {{input:End date}}. We confirm dates of employment and job title only.
Pay information, if appropriate to the request:
{{input:Employee name}}'s {{input:Pay period}} salary was {{input:Amount and currency}}.
Reference opening:
I am writing about {{input:Employee name}}, who worked at {{input:Company}} as {{input:Job title}} from {{input:Start date}} to {{input:End date}}.
Duties:
{{input:Employee name}}'s main responsibilities were {{textarea:Duties}}.
A defined piece of work:
{{input:Employee name}} was also responsible for {{input:Project or area}}.
Assessment and recommendation:
Based on our work together, {{textarea:Assessment with specific examples}}. I recommend {{input:Employee name}} for {{input:Role or opportunity}}.
Use this paragraph only when you can support the recommendation. Save any wording approved by your HR team as a separate phrase, rather than assigning a stock assessment to every letter.
Closing:
Please contact me at {{input:Email or phone}} if you need further information.
{{input:Your name}} {{input:Your role}} {{input:Company}}
Letter date:
{{date:long@en}}
The details you enter are pasted into the letter without changing the saved phrase, so the same template is ready for the next request.
Check the finished letter
- Check names, dates, job title, and duties against the employment records.
- Make sure any assessment describes this person's work and follows your organization's policy.
- Confirm that the signer is authorized to issue the letter.
- File the completed letter in your HR records, keeping reusable phrases free of employee-specific data.
The same wording for the whole HR team
With team sharing, colleagues can use the same approved phrases from a database file in a shared folder. Changes appear on their next search or when they summon PhraseVault. Choose one person to maintain the wording: PhraseVault doesn't merge simultaneous edits or resolve conflicts between offline cloud copies.
For interview invitations, rejection letters, and onboarding messages, see the HR guide.
PhraseVault stores phrases in your chosen database file, works without an account, and sends no telemetry. Its source is available to read. See the privacy guide for what local storage means when handling personal data.
PhraseVault runs on Windows 10 or later (x64) and macOS 13 or later on Apple Silicon. On a Mac, enable PhraseVault in System Settings > Privacy & Security > Accessibility so it can paste into your document; without permission, it copies the text for you to paste manually.
